Notification Settings

Updated over 3 weeks ago

Teams Manager has lots of different Notifications that are sent out when certain actions occur on your tenant.

You have the option to configure both Action Card and Email Notifications for each set of events, giving you the flexibility to pay attention to the occurrences you're actually interested in, instead of being bombarded with everything at once.

Teams Manager Notifications are split into three distinct categories: Request, Lifecycle, and Group. Let's go through all of them individually for a broader picture of the configuration options available to you.

πŸ”” Notifications

To start configuring Teams Manager Notifications, navigate to Settings > Notifications. The page is split into two distinct tabs: General settings (Admin only) and Personal settings.

πŸ§‘πŸ»β€πŸ’» Personal Settings

Switching to Personal settings allows you to disable all Notifications for your account, along with the option to choose the preferred Notification Language.

🌐 General Settings

General settings allow you to configure what Notifications will be sent out for other users. Here you'll find three distinct categories: Request, Lifecycle, and Group.

1. Request

This section allows you to configure Notifications related to Space Creation Requests made on your tenant:

  • Bot notifications for an incoming request to all approvers - Sends out an Action Card to all approvers (including the Admin) when a new Space Creation Request is made.

  • Bot notifications for an approved or denied request to the requester - Sends out a card notification informing the person who requested a Space about the approver's decision.

  • E-Mail notifications for an incoming request to all approvers - Sends an email to all approvers (including the Admin) when a new Space Creation Request is made.

  • E-Mail notifications for an approved or denied request to the requester - Sends an email informing the person who requested a Space about the approver's decision.

2. Lifecycle

This section allows you to configure Notifications related to the Automatic Archival and Deletion of Teams on your tenant:

  • Notification to the team owner via bot (e.g. when a team will expire in x days) - Sends out a Reminder Card to the Team Owner (as well as the Admin) when a set number of days before Archival/Deletion is reached.

  • Message in the team (Channel General) (e.g. when a team will expire in x days) - Sends out a message in the General Channel of the corresponding Team when a set number of days before Archival is reached.

  • Notification to the team owner via E-Mail (e.g. when a team will expire in x days) - Sends out an email to the Team Owner (as well as the Admin) when a set number of days before Archival/Deletion is reached.

3. Group

This section allows you to configure Notifications related to the inclusion of Members in new Teams on your tenant:

  • Send Microsoft welcome emails to new members (only affects new groups/teams) - Sends out the default Microsoft Welcome Message to newly added Team Members.

πŸ“§ Mailing

You have the choice between two different Mailing Methods through which Notifications will be sent out. The Mailing Method can be changed from the corresponding dropdown in the top right corner of the Notifications page, in the General settings tab.

  • Teams Manager Mailing (recommended) - The system will send out emails through our third-party partner (SendGrid). In rare cases, these emails might end up in the spam folder of your inbox, in which case, you might consider switching to an Exchange account.

  • Exchange Account - The system will send out emails through the email attached to the User that you select (helpful for maximizing privacy).

πŸ’‘ If you decide to use an Exchange Account for mailing, make sure that it's Cloud Only (Not OnPrem Synced) since this account type is best suited for interactions with the Graph API.
