SharePoint ListSync is a useful tool for admins to track all of their Teams in one place. Once enabled, it will automatically create entries for each Team created on the tenant.
You'll even have the ability to prompt Team Creation through the SharePoint Site if you feel like it.
Let's take a deeper dive into ListSync functionality together to fully understand how you can utilize it to its fullest potential.
π Prerequisites
In order to get this feature working, you'll need:
An Enterprise-level Teams Manager Account. You can verify your licensing status with your account manager or by contacting us at [email protected].
A SharePoint Site dedicated solely to this purpose.
π Setting Up ListSync
Navigate to Settings > Expert mode > SharePoint content > Synchronize with SharePoint list.
βEnable the Synchronization to a list in SharePoint toggle.
βGo to your SharePoint Site and copy the last part of the URL, right after sites/, and paste it into the first box.
βClick on Validate site. If you see a green checkmark next to the text box, you're good to go.
βCome up with a Name for your List. In our case, we'll call it SharePoint ListSync.
βClick on Validate list, keep in mind that this name cannot coincide with any existing list on this SharePoint Site.
βClick on Synchronize when ready.
The Synchronization process will take a certain amount of time; the more Spaces on the tenant, the longer it will take.
Once the Synchronization process is complete, you'll see the corresponding notification on the ListSync page.
π‘ Keep in mind that deactivating or hiding Sensitivity Labels on Microsoft Purview will render them unavailable in Teams Manager as well.
π Final Results
Now that our List has been successfully synced, navigate to your SharePoint Site and go to the Site Content tab.
You'll see your newly created List, which contains all information related to all spaces on your tenant. Each time a new Space gets created, it will be added to the List.
Each entry on the List can be expanded to view more details. It's also possible to create Spaces directly through the List by clicking + New in the top left corner and selecting a Template.
When you create a Team through the List UI, no Request will be submitted for it; instead, it will appear on your tenant immediately.
π‘ Keep in mind that archived and deleted teams won't be automatically removed from the list.
π€ Things to Consider
The ListSync feature is still in Beta, so there are some possible quirks you need to keep in mind for a smooth experience.
Please DO NOT change any of the columns or edit any other parts of the List through the Microsoft interface. This List is created in the exact format that Teams Manager expects; any alterations to its formatting will render the list potentially unusable.
βIf you're getting a syncing error on the ListSync page in Teams Manager, you'll need to Disconnect the List and Connect a new one. There is an option to keep the existing data on the List if that's important to you.
