Provisioning

Teams Manager allows you to provision a variety of different apps and content with your Templates. This allows you to create a Template Team with a Planner, OneNote, and Channels, which will be automatically transferred to all Teams that are created on its basis.

Let's go through all aspects of provisioning together to better understand what will and won't transfer to your final Teams.

πŸ’¬ Channels


Any Channel that you add to a Template Team will be provisioned to every Team that's created based on this Template.

This includes any content that's added to the Channel, including Messages, Comments, etc.

Channels serve as a basis for provisioning any app (including the ones described below). You simply add one of them to a Channel within the Template Team, and all subsequent Teams will contain the same app/information.

❗ Keep in mind that you can reliably provision only 15 Private Channels per Team; any number of Private Channels above that might not work as intended, or simply not get provisioned.

πŸ“ Files


Each time you create a Template Team, it also creates a corresponding SharePoint space that holds all of your Files and Folders.

It can be accessed through the Shared tab of a Channel within a Template Team, and all of its contents are provisioned to all Teams created on its basis.

πŸ“„ One Note


In order to provision OneNote content, you must add it to a Channel within the Template Team. Simply click the plus icon in the top bar and select OneNote, then either select an existing Note or create a new one.

This Note, along with any changes made to it, will be provisioned for all new Teams created based on this Template.

You can also apply Naming Conventions to OneNote the same way you do to Teams. Simply switch to OneNote while creating a new Naming Convention and add a Prefix/Suffix exactly like you would with a Team.

In order to start using a OneNote Naming Convention, simply add it to a Policy Execution, exactly like a Team Naming Convention.

πŸ“… Planner-Tab


Planner provisioning follows the same process as the OneNote provisioning. You simply add it to a Channel within the Template Team, select a New or Existing Plan, and it gets provisioned across all Teams created based on the corresponding Template, along with any Tasks that have been included in that Plan.

❗ Keep in mind that this applies only to the regular Planner; the Premium Planner is currently unsupported due to its varying feature set.

You can also apply Naming Conventions to the Planner the same way you do to OneNote and Teams. Simply switch to the Planner while creating a new Naming Convention and add a Prefix/Suffix exactly like you would with a Team.

In order to start using a Planner Naming Convention, simply add it to a Policy Execution, exactly like a Team Naming Convention.

πŸ›‘οΈ Teams Manager-Tab


Teams Manager itself provides three distinct pages that can be added to a Template Team and provisioned within subsequent Teams.

πŸ’‘ Keep in mind that the content and capabilities available through these pages will depend entirely on your role within the organization, e.g., Admins and Approvers will be able to see and do more on certain pages than regular users.

1. Infopage


The Infopage allows you to easily view all of the information related to the Team you embed it in, including General information (Team Characteristics, Owners, Members) as well as Policy and metadata (applied Policy, Lifecycle, Status, Archival, and Metadata Fields).

In order to add the Infopage to your Channel, simply click the plus button in the top row, select Teams Manager > Infopage, and click Save.

You also have the option to create a new Channel request by clicking the Add channel request button.

The Update displayed information button will give you the ability to alter what aspects of the Infopage actually show up when you open it. You can disable/enable all related aspects, including the Team Title, Policy Properties, and specific Metafields.

2. Teams


The Teams tab does exactly what you think it does: it adds the Teams tab from Teams Manager into your Channel, allowing all users to view their Teams, while admins have access to the full Admin Dashboard and Settings.

It can be added to your Channel by clicking the plus icon in the top row, selecting Teams Manager > Teams, and clicking Save.

3. Requests-Tab


The Requests tab functions similarly and adds the Requests page from Teams Manager directly into your Channel.

It allows Users to View and Create Requests right within the Channel, while Approvers get the same flexibility to alter and Approve/Reject Requests as they have in the full app.
