Shared Links Overview allows you to easily monitor what links are shared on your tenant, giving you the ability to quickly flag suspicious resources and or identify commonly shared content.
Let's go through the Shared Links Overview functionality together to better understand how it can improve your managerial infrastructure.
π Accessing the Shared Links Overview
Shared Links can be found through the Admin Dashboard whenever a specific Space Profile is opened.
The Shared Links section will provide you with a pie chart-type graphic with a breakdown of Total links, as well as Internal and External links, whether they were shared with specific people or everyone on the tenant.
Click Manage Shared Links to get a more detailed view of the shared information.
The Management screen will give you the same pie chart-type breakdown, a graph that shows you the amount of sharing activity within this Space, and a list of links that have been shared.
The Shared links list will display detailed information about each link that has been shared in this Space.
Name - displays the name of the shared piece of content, along with the corresponding link.
Share type - displays how the link was shared, whether it was with internal or external users, and whether it was shared with everyone or specific people.
Permission - displays whether the content associated with the link can be edited. The pencil icon denotes an editable item, while the eye icon denotes an item that can only be viewed.
Shared to - displays users who were specified as the intended recipients in the sharing window.
Valid until - displays the expiration date of the link.
Copy - allows you to quickly copy the link.
Delete - deletes the link from the list and renders it inactive for all users.

As an Admin, you have the ability to restrict the usage of any links you might deem risky or inappropriate.
For instance, if you want to see content that's shared to External - Everyone, you can just filter the list with the corresponding status, multi-select those links, and click Delete.
This action will remove the links from the list and render them inactive, so your organization's content isn't accessible by just anyone.

The status of Shared Links depends on how a user shares them. Once you click the Share button on any piece of content on your tenant, you can access more details through the Cog Icon.
The setup on this screen will determine how the link will show up on the Shared Links Overview Dashboard.
Here are all the potential statuses that your link can receive:
Internal | Existing Access - Only people who already have access can view the content.
βInternal | Specific People - Only selected people in your organization can view the content.
βInternal | Everyone (Organization-wide Link) - Everyone within your organization can view the content.
βExternal | Specific People - Only selected external guests can view the content.
βExternal | Anyone (Anonymous Link) - Anyone with the link can view the content.
